Job Title:Finance and Administration – Team Lead

Job Purpose

The Finance and Administration Team Lead provides strategic and operational leadership for the school’s financial and administrative functions. Reporting to the Executive Director, this role oversees budgeting, financial reporting, payroll, and core administrative systems while ensuring compliance with Alberta regulations and independent school requirements.

In a small-school environment, this is a hands-on leadership role that blends day-to-day execution with planning, oversight, and continuous improvement. The successful candidate will be a trusted operational partner to the Executive Director and a collaborative leader within the school community.

Job Duties and Responsibilities

Financial Management & Reporting

  • Assist in the development, monitoring, and reporting of the annual operating and capital budgets
  • Prepare monthly, quarterly, and year-end financial reports for the Executive Director
  • Manage cash flow, forecasting, and financial controls
  • Oversee accounts payable, accounts receivable, tuition billing, and collections
  • Coordinate year-end audit or financial review processes with external accountants
  • Ensure accurate financial records in accordance with generally accepted accounting principles (GAAP)

Compliance & Regulatory Requirements

  • Ensure compliance with Alberta Education requirements for independent schools, including financial reporting and funding documentation
  • Maintain appropriate internal controls, policies, and procedures to support regulatory and organizational requirements
  • Monitor relevant changes to legislation or funding guidelines and advise the Executive Director accordingly

Administrative & Operations Leadership

  • Lead and support administrative staff (e.g., office administration, admissions support as applicable)
  • Oversee payroll, benefits administration, and staff expense reimbursements
  • Manage relationships with external service providers (e.g., payroll, insurance, accounting, legal)
  • Ensure efficient and effective administrative systems and workflows across the school

Strategic & Organizational Support

  • Partner with the Executive Director on financial sustainability, risk management, and operational planning
  • Provide financial analysis and scenario modeling to support organizational decision-making
  • Identify and implement improvements to processes, systems, and cost effectiveness

Qualifications & Experience

  • Post-secondary education in accounting, finance, business administration, or a related field
  • CPA designation or progress toward CPA is an asset
  • Minimum 5 years of progressive experience in finance and administration, preferably in a not-for-profit or education setting
  • Experience leading or supervising staff
  • Strong understanding of budgeting, financial reporting, and internal controls
  • Familiarity with Alberta employment standards and not-for-profit financial practices is an asset

Working Conditions / Physical Requirements

  • 0.6 – 1 FTE position Negotiable depending on workload
  • Occasional evening or peak-period work may be required (e.g., year-end, budgeting cycle)
  • Hybrid or flexible arrangements may be considered depending on organisational needs
